A collections process is not only about the call. A reminder is needed before it, a confirmation after it, and in some cases a written notice as well. This page gives examples of the message drafts collections teams need most often.

Important: the texts below are structural examples. The legal notice and mandatory wording in every message must be approved by your own legal team. Regulatory requirements vary by sector and by product.

Payment reminder message

Before the due date or immediately after it

Dear [Full Name], the due date for your payment of [X] held with [Institution Name] is [DD.MM.YYYY]. You can make your payment through [channel]. For information, call [phone]. [Legal notice approved by the institution.]

The job of this message is to remind, not to apply pressure. Amount, date and payment channel are given plainly, so the customer does not have to look anywhere else.

Payment plan confirmation message

Written confirmation of the commitment given on the call

Dear [Full Name], following the request you made in our conversation on [DD.MM.YYYY], a payment plan of [N] instalments has been set up for your balance of [X]. The first instalment is due on [DD.MM.YYYY] and amounts to [Y]. You can see the details of the plan through [channel]. [Legal notice approved by the institution.]

Putting a verbal agreement in writing protects both sides. The customer sees what they agreed to, and the institution keeps a record of the agreement.

Missed instalment reminder

A payment that slips after the plan is set up

Dear [Full Name], your instalment of [Y] due on [DD.MM.YYYY] has not yet reached us. You can make your payment through [channel], and you can contact us on [phone] for support with your plan. [Legal notice approved by the institution.]

At this stage the language stays informative. The aim is to correct the plan before it breaks down entirely.

Final notice message

The stage where legal process comes into view

Dear [Full Name], no payment has been received for [N] days in relation to your balance of [X]. If payment is not made by [DD.MM.YYYY], [process wording approved by the institution's legal team] will be applied. For payment and information, call [phone]. [Legal notice approved by the institution.]

Every word of this message requires legal approval. Statements about legal process must be written with the institution's own wording and not copied from an example.
